[Spaces] Spaces (deprecated)
What is a Space? A Space is also known as a 'zenlearn forum'. For example, 'zenlearn space' or 'virtual space', 'online space', or 'virtual classroom' - many names, same thing. It's a closed website, where your customers can access Content such as video, audio, PDF, etc. - that you provide for them, as well as a discussion forum (if you let them have one), and a list of other members. It's sort of like a simple Facebook Group that you control. You can associate a product with a Space, such that people who purchase that product automatically get access to the Space. This is how an online course is delivered, but you can also use it as an add-on to a webinar course or a physical course or seminar. You can have multiple products associated with the same Space. This is useful if they're different classes for the same course, so they should have access to the same content and the same forums. It's also useful if you have different levels of the same basic product - a basic version and a deluxe version, which gives access to additional content and features. Within a Space you can differentiate access based on which products they have bought to gain access, allowing you to differentiate between classes or levels of a product. Creating a Space Select Content from your Simplero Dashboard. You will automatically be in the Spaces area. In the upper left-hand corner select "Create a new space" Give your Space a name. Select the Access Control. Upload a header image that will appear in your Space. Upload a card image.  Set your front page options: You can either leave the box checked and add content to the box below or if you uncheck the box the first content page will become your front page.  Scroll down and select the "Create Space" button to save Adding Content Pages and Material Select the Space you want to work on Click on the "Content Tab" in the Spaces sidebar Select "Add a new page" Complete the information: Name your page Select a Page type Content: This is boxes of copy and media files you choose Blog: Blog page just like you would have on your website Forum: Here you or your participants can post questions and comment Select the Create page button Select the "Add content block" link A content block will appear and you can now... Type header text Add body copy Load a media file such as an MP3, MP4, PDF (5GB limit) - Note that these files can only be added via the Media File below the body box Connect a Worksheet  Select the "Save Changes" button Repeat steps 5-6 until you have all your Content on the page. Repeat steps 3-4 until all Pages have been created. To Create Subpage Select the + next to the page name and a subpage will be created.  Understanding Settings of Content Pages When a Page is selected you will see 3 blue tabs: Content Activity Settings - You are able to change the name of the page, the page type, and if participants can comment. At the bottom of the Settings tab, you will see a section titled Publish status and access control. This is where you will determine who can view your pages and how. There are 3 options: Draft: This page is only viewable to admins on your account. Published: This means it is viewable at all times and promptly to everyone you decide. When you select the published option a sub-option will appear called Who should have access to this page? Here you have 2 options: Available to everyone who can access this space - This is determined by connecting the space to a product or list via the content tab within the list (see Product guide or List guide) Only available to customers who purchased the following product(s) - When this is selected a list of all your products will appear and you can choose which products are able to view this page.  Auto-publish: Allows you to determine when the page becomes viewable and to whom through either a trigger, automation, or email broadcast.  Duplicating a Space Select the Content section from your Simplero Dashboard You will automatically be in the Spaces area Locate the Space you want to duplicate and click on it Be sure you are in the Summary screen Select the "Duplicate space" button in the upper right-hand corner  You will receive an email letting you know when the space duplication is completed. From there you will be able to edit the Space just as you would any other including updating the name and the Space URL.

[Spaces] Space FAQ (deprecated)
Where are my Members for mySpace? I know it can look strange that you have fewer participants/members showing up in your Members tab than who have access to the Space but don't worry!  It's simply because they haven't visited the Space yet. Once your participant has visited the space for the first time, their name will appear in the Members tab.  It doesn't mean they don't have access to the Space, it's simply because they haven't visited the Space yet.  How much can I customize the look & feel of my Space? The basic structure of a Space is set. There's a header, there's a menu with drop-downs, and there's a sidebar on the right which contains navigation and other tools. This is all framed and set on a background. You can customize the background to be either a color or one of many many patterns. You can customize the fonts and colors inside the Space.  You can upload a horizontal header graphic, or you can upload a logo and leave the rest of the header as text, in a font and color of your choosing. You can obviously customize the content. If you want to go further in customizing the look of your Spaces, you can add your own custom CSS. For this, you obviously need someone who knows CSS, but it's not too complicated. You also run the risk that we may change things in the backend software which ends up messing with your customizations, but that typically doesn't happen too often, and can usually be fixed easily. How do you customize this? Select Settings from your Simplero Dashboard Select the Colors and graphics How do your Customers get a Login to the Space After the purchase has been activated, we look at each participant in turn. If the participant has the same email as the currently logged in user, we do nothing. They're already logged in, and we assume they know what they're doing. If we already have a user account with that email address, we'll send the person an email which tells them the username to use, and that they have previously chosen the password themselves. And if they've forgotten, they can click into the site and find help. If we don't have any user with that email, we'll create one with a username generated from their email, and a new autogenerated password. Then we'll send the user an email with both the username and the password. When they log in the first time, we'll ask them to choose their own password, and to change the username and other info if they wish. In either case, the email contains a link to the Space in question and mentions both the product they purchased and the name of your account as the vendor. The goal is to make the process as intuitive and frictionless as possible for the customer, so we don't bother them with unnecessary stuff during the checkout process, yet make sure they have a login. Similar when a list is giving access to a Space, or you grant access using a Trigger or an Automation. How Notifications in Spaces Work The members of the space have the option of getting email notifications about All activity: New posts and new comments on pages and posts Staff activity: Same as above, but only when written by a staff member None: No notification Regardless of that setting, they can also "Follow" individual pages and posts. If they're following a page or post, they'll get email notifications about each comment on that page or post. When you comment on a post or page, you're automatically following it. You can manage your notification and follow settings by following the link at the bottom of each email. In the settings for your Space, you can choose the default notification setting (All / Staff / None) for new members. This will not affect existing members. You can override the setting for existing members under Members inside your Space.

[Spaces] Troubleshooting Space Access (A deprecated feature)
Helping your customers get access to a Space There are three critical components to this. To get access: They must go to the URL where the Space is located They need to have access to the Space, through a List, Product, or directly They must be logged in with the Simplero ID that has access Go to the right URL The URL for the Space, you probably know. It's typically something.zenlearn.com. Make sure they're visiting that page. If all else fails, tell them to go to "Your account". There they'll see a list of Spaces they have access to. You can find "Your account" in the login menu in the top-right corner. Get access They can have access in three ways:  Purchase a Product that gives access Subscribe to a List that gives access Have access granted manually directly on the contact Have access granted through an Automation or a Segment action (which will also register as access granted directly on the contact) The easiest way to go is to search for the contact using the search field in the top-right corner of your Admin interface: Or by searching for their name in the search box in the top-right corner, and finding their Contact page. Here you need to check that the Space shows up on the list of Spaces they have access to: Log in using the right Simplero ID When looking at the contact, you'll see their Simplero ID In the sidebar on the right. If there isn't any, you can set it up right there. If there is, but they forgot it, you can click "Resend" to resend the email with the login information. If we generated the password for them, and they didn't yet change it, the email will also contain the password. Otherwise, it will not. In that case, it'll contain a link for them to choose a new password. Clicking that link will cause another email to be sent to them, with a link that allows them to change their password. Can't remember their password? If they've forgotten their password, there's also a link on the login screen to help with that. The trick here is that on the form, make sure they're entering their Simplero ID, not their email address. Why? Because what often happens is people purchase with different email addresses, and so we create separate Simplero IDs for them because we cannot know it's the same person. So when they enter their email address, that might be the email address associated with the wrong Simplero ID, and changing the password for that Simplero ID does nothing to help them log in. Therefore, when you know which Simplero ID you're trying to log in with, it's better to enter that, and we'll send the password reset email to the email address associated with that Simplero ID. Also, we often see that people are already logged in, and they just get confused about where they're going, so make sure you give them the URL of the Space and have them click there first. If they're already logged in, they'll be taken right there.

[Spaces] Space and Space Page Access (deprecated)
How Space Access Really Works Getting Access In order to determine whether someone has access to a Space, we go through several different options. First, if they have an active purchase of a product, or an active subscription to a list, where that space is added under Content, they'll have access. Second, if they're admins on the account, or they've been granted staff privileges in the space, they're in Third, if they have been granted explicit access to the space, either by manually adding the space on their contact page, or through an action via a trigger, an automation, or directly on a segment, they're in. If anyone of those conditions is met, they'll get access to the space. Revoking Access You can revoke each one of these, and they'll have different consequences. Removing the Space from the content for the List or Product will remove it for all who are on that list or product. Unsubscribing a contact from a list, or canceling their purchase of a product that gives access to that space, will affect just that contact, but will have other consequences, like no longer getting emails to that list or product. Removing them as admins on your account or revoking their staff privileges in the space will obviously remove them as admins or revoke their staff privileges. Using the "Revoke access to space" action will only remove any directly granted access, ie. if they have access through a list or a product, they'll still have access, regardless. Grant Access and Revoke Access These respectively set or remove any explicitly granted permission for this particular contact on this particular space. If the contact in question has access some other way, it's not going to make any difference whether you grant or revoke these. Only in the future, if they lose access through, say, a product, then the fact that they still have been explicitly granted permission would come into play Space visibility options There are 3 options for Spaces access.  Closed Spaces, require everyone who has access to purchase a product from you or sign up for a list with you. They have to give you their information and in turn, they are supplied with access and a Simplero ID. Then you have two options for an Open Space. An Open Space means that anyone who has the URL will have access. The URL can be shared via social media, an email, text message. Also if they are a current customer with access to one of your other spaces (closed or open) they will see all your open spaces listed as available to them.  Your 2 options in an Open Space are: That they create a Simplero ID this would require them to be registered with Simplero That they don't have to log in at all. Meaning the Space would be truly open to anyone and they don't have to register with you or with Simplero.  Giving Access Site Access to a Product or List Locate the list(s) or product(s) you want to give the site to. Select on the Content tab within the list. Scroll to the "Site" section about 1/2 way down Select the Connect to existing site button Select Site  Save Access to a single contact  Search for the Contact in your database Click on their name Scroll about 3/4 of the way down to the box showing the spaces they have access to. Click on the red hyperlink that says "Add a site" Select the site you want them to have access to If there are any pages on auto-publish in the site you will now need to to do that. That can be done via an automation, broadcast, or simply select the manage access button next to the site in this same screen and select the pages.  Access via a Trigger or Automation Add a trigger where you want or create a new step in your automation Select Action Choose Give access to a space then select the site Manual Access  Do you want to give a contact access to a space without having them register for a product or list? Search for contact in your database Click on their name Scroll about 3/4 of the way down to the box showing the spaces they have access to. Click on the red hyperlink that says "Add a space" Select the space you want them to have access to If there are any pages on auto-publish in the space you will now need to give them access to those. That can be done via an automation, broadcast, or simply select the manage access button next to the space in this same screen and select the pages.  Removing Access for a Space Removing access to a single contact Search for the contact in your database Click on their name Find the product where they have access to the space Cancel their purchase   Removing an entire product's Access Go to the space you want to remove access for Click on the access tab Find the product name listed Select the red remove button next to it Removing Access via a Trigger/Automation You can also set a trigger or a line in an automation that says to remove access to a space, should you want to do that.  Managing access within a space Do you have a customer emailing you saying they can't view a page they should have access to? Or maybe you just want to verify that someone has or doesn't have access to a specific auto-published page. There is a way to do that! Search for the person in your Simplero Scroll about 1/2 way down until you reach the space access box, for questions about page access go to step 4, for questions about space access go to step 3. If you are looking to verify which spaces they have access to and how you can see this in the box directly. The through column shows you how they got the access. If access was given via a product you will see that product listed. If access was given manually or through an automation or trigger to a segment it will say Directly. Locate the manage access link next to the space and a pop up will appear with the auto-publish pages. Pages which a check mark next to them is viewable by that contact. Pages without a checkmark are not viewable by the customer. Restricting Access within a Space  Why would you want to restrict access? Restricting access to a page allows you to set up a single membership site and connect it to multiple products. For example, if you run a mastermind each year you can then have one mastermind space with all the content as the content itself is evergreen and used season after season. But then you can have a page(s) in the space that has restricted access where you can post call replays. Giving each mastermind group the privacy they are expecting.   How would you restrict access? Each published page in a space can be restricted in two ways. A page can be published in a space but only viewable by specific Products. Select a page in your space Go to the settings tab on the page Scroll down to the section titled "Who should have access to this page?" Note if the page is not set to published you will not see this option. Select the option "Only available to customers who purchased the following product(s)" Select the product(s) you linked to the space Repeat all the steps above for each page that is paid content not being auto-published You can also use Auto-Publish. That means the page is only accessible to people that have been expressly released to, either manually, through an email broadcast or a trigger of some kind within your simplero. This option is great if you want to control the timing of when a product receives access to a page or if you don't want to give access to everyone within a product or list.  One thing to note is access requires access to the parent page. What this means is that access to a subpage is also restricted by the "parent" page. So if you have pages like this: Modules > Module 1 > Part 1 Then a customer will only be able to get to the page "Part 1" if they also have access to the "Module 1" and "Modules" pages.

[Spaces] One Space Multiple Products/Classes (deprecated)
Can a Space be connected to more than one more product? A space can be linked to as many products as you like. Just select the space from the content page in any product you want connected to the space.  Does each product have to be able to view all the pages or can I set different pages to be viewable by different products? You can set the different pages to be viewable by different products. There are a few ways to do this.  You can set the pages to be auto-published and then release them who you desire when you desire.  You can control the access of a published page.  Here's how... Go to the page Go to the settings for that page Set the page to be published Scroll down to the section titled "Who should have access to this page?" Note if the page is not set to published you will not see this option. Select the option "Only available to customers who purchased the following product(s)" Select the paid product(s) you linked to the space.  Repeat steps 1-6 for each page that is paid content not being auto-published. One Space for multiple classes with no change in content One Space for Multiple Classes when you allow commenting that is only viewable by the class Do you have the commenting turned on, on your pages but only want it viewable by the class that is commenting and not future or past classes? To do this you will duplicate the content pages that you allow commenting on to the same space and make those new pages viewable only by the new course or auto-publish them to only the new class.  In the upper right-hand corner of the Content page for the space admin, you have the "Duplicate" button Select Duplicate to this space You will now see the page listed with the word copy in front of the title Re-title it appropriately and in the settings on the page, select the publishing option of your choice.  One Space Multiple Classes with Slight content variations for each class. First, you are going to set up a parent page for each class within your space. Then you will create subpages under that parent page for their content, blog, or forum.  Note: Once you have created these pages for one course you can duplicate the pages again for each additional course quickly by selecting the parenting page and then selecting duplicate in the upper right-hand corner.  When you structure your content, so that each class has parent page of its own, and then their modules as subpages, you only have to copy the parent page, and the subpages will come along. You can then edit the content of the pages to fit the current class If you do a lot of classes, you might want to order the pages, so you have the most recent on top, you can use the reorder function for that, and just grab and drag the parent page to where you want it to be. Your participants will always only see the specific pages they have been given access to, so don't worry if the space looks a bit overcrowded when you look at it. I f you want to see it from their point of view, you will need to use an incognito or different browser and make a freebie purchase of the product using an email address not associated with your Simplero ID.

[Spaces] Free Spaces and Spaces with both Free and Paid content (deprecated)
A sample space is a great freebie to give away as an opt-in gift or during a sales funnel. It is a mini version of a current product to give your leads a taste of what they will be getting when they purchase.  To set it up you can either create a space from scratch or you can duplicate your current space and delete out the content you don't want them to have access to (This is what I did in the above video). Once your space is created simply connect it to your opt-in list or give access to it via your sale funnel automation.  Free and Paid content co-existing in the same space Do you have a space that houses paid content but you want to give some of it away for free, maybe as a preview? Well, it is possible with just a few simple steps.  Create your Space Add content to your space and then set the page to be either Dripped if you want to drip release it or Published Connect the List and Product to the space  Locate the list you want to give the space to Select on the content tab within the list Scroll to the "Space" section about 1/2 way down Select the connect to existing space button Select the space Save Repeat steps 1-6 on the Product Return to the space and follow the steps below for the pages that are paid content and are not being Dripped. Select a page in your space that is not being Dripped and is Paid content Go to the settings tab on the page Scroll down to the section titled "Who should have access to this page?" Note if the page is not set to published you will not see this option Select the option "Only available to customers who purchased the following product(s)" Select the paid product(s) you linked to the space Repeat steps 1-5 for each page that is paid content not being Dripped.

[Spaces] Multi-Language Spaces (deprecated)
Are you serving an international customer base and want to offer your space content in more than one language? This guide will give you two options for doing such a thing.  First, we are going to want to create the space/content in different languages. Then we will want to connect the contacts to the correct space.  Creating the Space When creating the space you have two options: Option 1 Create an identical space for each language. So if you are offering your product in English and in Danish you will have 2 spaces.  Option 2 One space with both languages.  Create your space Then for each page of content, you will actually create multiple pages 1 in each language. So again if you are selling in English and Danish then you will have 2 pages for each page of content. One of the content will be in English and the other in Danish.  Set all pages to be auto-published Create the automation to release the pages based on language. So again if you have content in English and Danish you will have 2 automations. One that will release the English pages either all at once or spaced out depending on how you release your content. And one releasing the Danish pages in the same manner.  Create and connect your Product when selling in Different Currencies Product Creation Create your product Duplicate the product and change the currency Connecting to the Content You have two options here based on how you created the content. If you went with option 1 and created two different spaces then you will connect each product to the appropriate space matching currency with language. If you went with option 2 and housed it all in one space. Then you will add a trigger in each product to start the automation that matches currency with language.   Create and Connect your Product when selling in a single Currency Creating the product Create an automation for each language option The automation will contain 1 action step which is to add a tag to the contact. For simplicity, the tag should be the language of choice.  For example, if English is the preferred language the automation will say to add a tag "English" to the contact Create your product Set up a welcome email autoresponder to ask which language they primarily speak Hyperlink the language options in the email to the Autostart for the automations in step 1.  Connecting the content You have two options here based on how you created your content, to begin with.  If you went with option 1 and your content is housed in 2 different spaces. Then you will add a trigger to the tag that says to give access to the space that matches their chosen language. If you went with option 2 and your content is housed in the same space then you will add a trigger to each tag that starts that in the automation that matches their chosen language.

[Spaces] Postponing Access to a Space Until Later (deprecated)
How to Postpone Access to a Space until Later If you want to let people purchase now, but only give them access to the space later, here's how to do that. Initially, do not add the space to the product under Product > Content. Hold off on that. Then when you're ready to give access to the space, you do the following: Add the space under Product > Content > Spaces. Click the orange "Send Simplero IDs" but that appears if there are customers who do not have a Simplero ID already. You may need to reload the page for the button to show up. Send your customers a broadcast explaining that the space is now available and that they will have received an email with a  Simplero ID if they didn't have one already. Also, include a link directly to the space to make it easy for them to find it.

[Spaces] Page Types (deprecated)
Blogs: A Blog page works just like a blog on your website. Once you have created the page in your space simply view it, add a new post, and write. Once it is saved the blog page will keep a running of the blog title and the first line. Your space participants can then click on the title to read the full blog.  Forum: Forum pages allow your course participants or space members to post questions and engage with each other similar to say a Facebook group. But it is housed within your space/membership site/course. They can click write a post just like you would when creating a blog post and be prompted to add a title and body. Once published members are able to comment. When participants comment on a forum post they have a WYSIWYG editor that allows them to format their posts and upload images as part of their comments.

[Spaces] Embedding Videos in Your Spaces (deprecated)
How to Embed Videos in your Spaces Generally, we recommend using Simplero's media library when adding videos to your spaces. This makes it possible for us to make the videos fully responsive and usable in different types of content. But, if you for some reason want to embed a video, usually from YouTube or Vimeo, there are a couple of things to consider to ensure a good experience for your participants, especially if they are watching from mobile devices. First of all, you need to ensure the video you are trying to embed comes from an https:// source – if it comes from an http:// source it can't be embedded in a Simplero space. Youtube and Vimeo videos are embedded in what are called "iframes," and this causes potential problems since the iframe has a fixed width. By default, this width is greater than that of a mobile phone, so it'll break the layout when people visit your space from their mobile devices. So, if you want to keep your pages in your spaces responsive, you'll need to change the width in the embed code for the video. Here's how you do this for YouTube videos: First of all, you need to make sure, that the video is set to public or unlisted – videos with private status can't be embedded. To find the embed link, you click share under the video: Then you choose embed: This then gives you the embed code. As you can see, the width is by default set to 560, which is too big. To fix this, you need to click on "Show more" and then choose "Video size" > "Custom size" and set the width to 320. The corresponding height depends on the format of the video. I will also recommend you remove the tick in the "Show suggested videos..." checkbox in order to not distract your audience away from your content after the video is done playing. Then you can copy the final embed code and insert it into your space. In the content block editor you have to open the Source code function and paste the embed code there: If done correctly the video will show in the editor when you save the source code. When seen in the space from a PC, it is rather small, but your participants can then use the full-screen option, and on mobile it allows the rest of the space to resize properly.

Note: The files they have access to will only be the ones that are added to the space via the Media File section in a content box.
