Insert and Edit Media

By the end of this guide

You'll know how to insert images, videos, and audio from your media library into broadcasts, pages, and course lessons. You'll also know how to size, align, and crop media, and how Simplero handles videos so they work in email clients.

Before you start

  • Upload your media files to Simplero first. See Manage your Media Library.

In this guide

  1. Insert media into your email or content

  2. Insert a video from the media library

  3. Insert a video from YouTube, Vimeo, or another service

  4. Edit an image

  5. Replace an image already in your content

  6. Insert media into a course lesson

Insert media into your email or content

The media library is available anywhere you see the WYSIWYG editor (the toolbar with text formatting buttons). This includes broadcasts, autoresponders, library mailings, and page content.

  1. In the Body area of your content, click the Media library button (folder icon) in the toolbar.

  2. The Insert media file screen opens. Browse or search for the media you want:

    1. Choose the type of media on the top bar: Images, Videos, PDFs, Audio or Other

    2. Choose where you want to get it from on the sidebar

      • Media library - Your own files added to Content -> Media files

      • Stock photos - A huge gallery of free stock photos we have added for you

      • Generate - Generate your photo with AI by describing what you want

      • Upload - Add new files from your device. Either browse your computer or drag and drop a file onto the dialog.

  3. Select the file.

    1. If choosing an image, options appear in the right panel:

      • Display width — Choose Small (300px), Medium (400px), Large (560px), Larger (840px), Auto (scales to fit), or Custom (enter any pixel width). The height adjusts automatically to keep the image's proportions

      • Alt text — Describe the image for accessibility and screen readers

      • Align — Set the image to the left, center, right, or none

  4. Click Insert selected.

If the file isn't in your library yet, click Upload in the top menu of the dialog,

Insert a video from the media library

  1. Click the Media library button (folder icon) in the toolbar.

  2. Select a video from your library.

  3. In the right panel, you can:

    • Trim the video

    • Choose poster frame - Pick a different still frame under (To change the default still frame for a video (so every insertion starts with that frame), open the video in your media library and use the Default frame options. See Picking a Different Video Still.)

    • Choose to "Autoplay" the video when your customers open the page

    • Set a display width.

    • Align — Set the image to the left, center, right, or none

    • Alt text — Describe the image for accessibility and screen reader

  4. Click Insert selected.

Note: When inserting videos in an email, email clients like Gmail and Outlook don't play embedded videos. Simplero handles this automatically when you insert a video from your media library:

  • A still frame from your video is placed in the email, with a play button overlaid on the image.

  • When the recipient clicks the image, the email opens in their browser, and the video plays.

Insert a video from YouTube, Vimeo, or another service

Use this for third-party videos that aren't in your media library.

  1. Copy the source code from your video service. This is usually under the "share" option

  2. On your Simplero editor, click the source code (<>) icon:

  3. Paste the embed code (YouTube, Vimeo, Loom, Rumble, or Spotify) into the prompt.

  4. The video embed appears in your content.

Unlike media library videos, third-party embeds are not automatically converted to still frames for email. For email, insert a still image manually and link it to the video URL instead.

Edit an image

Crop an Image

You can crop an image when inserting it, without affecting other places that use the same image.

  1. In the Insert media file dialog, select an image.

  2. In the right panel, click Crop.

  3. Drag the handles to select the area you want to keep.

    • You can lock the aspect ratio from the options.

    • Choose the size

    • Choose the position

  4. Click Save.

The cropped version is a copy — the original stays intact for other uses.

Edit an image with AI

  1. In the Insert media file dialog, select an image.

  2. In the right panel, click the Edit with AI button (sparkles icon)

  3. This opens the AI image generation panel with your image as a reference. You can describe changes you want and generate a new version based on the original.

Replace an image already in your content

If the image is already in your content, you can easily replace it:

  1. Click the image in your content.

  2. A Replace overlay button appears on the image.

  3. Click it to open the media library.

  4. Select a different image and click Insert selected.

The new image replaces the old one in place, keeping the same size and alignment settings.

Insert media into a course lesson

Course lessons have three places to add media:

  1. Lesson main content - Use this if you have a media file that will be the main content for the lesson. This will show bigger on the top part of the lesson
  2. In the lesson body - Use this if you want to insert your media within the text. Use the same toolbar buttons described above
  3. In the Additional content section: Below the lesson body, use Add media file to attach files that appear as downloadable or embedded content for students. You can also add links, worksheets, and bots from this section.

For details on managing lesson attachments, see Manage your Media Library.

Troubleshooting

Why doesn't my video play in the email?

Email clients don't support embedded video playback. When you insert a video from your media library, Simplero places a still frame with a play button in the email. When the recipient clicks it, the video plays in their browser. This is automatic — you don't need to do anything extra.

Why doesn't my YouTube or Vimeo video show a play button in the email?

Only videos from your Simplero media library get the automatic still-frame-with-play-button treatment. For third-party videos inserted with the Insert video button, add a still image manually and link it to the video URL.

Can I add audio or video files to the body of a course lesson?

Yes. Audio (MP3) and video (MP4) files from your media library can be inserted directly into the lesson body using the Media library toolbar button. They can also be added in the Additional content section.

Why does my image look stretched or blurry?

Check the display width you selected. If you chose a specific pixel size that doesn't match the image's proportions, resize using Custom width or switch to Auto. For the best quality, upload images at the size you intend to display them.

How do I make an image clickable (linked)?

After inserting the image, click it in the editor, then click the Link button in the toolbar and enter the URL.
