Set Up a Payment Processor
To make money using Simplero, you will need to set up a Payment Processor.  Simplero never handles your money - your payment processor does. At the end of this guide You'll have a payment processor connected to your Simplero account so customers can pay you. You'll also understand how your money moves from your customer to your bank account. Before you start Sign up for an account with your chosen payment processor before connecting it to Simplero. Each processor has its own approval process. In this guide Payment processors available in Simplero Add a payment processor Add a manual payment method How money flows to your account Strong Customer Authentication (SCA) Payment processors available in Simplero Simplero never handles your money. Your payment processor does. You can add as many processors as you need—customers see all active ones at checkout. Payment Processors EasyPayDirect — Best for coaches, consultants, and service businesses based in the US. Only allows one refund per transaction, whether it is a partial or full refund Stripe — Accepts credit cards, debit cards, Apple Pay, Google Pay, Link, and Buy Now Pay Later options including Affirm, Klarna, and Afterpay. See the payment methods supported by Stripe guide for details. PayPal — Easy to get started with, but restricts the types of subscriptions and prices you can create. See Connect PayPal as a payment processor for setup instructions and limitations. QuickPay — Handles Dankort and MobilePay. Instructions available in Danish. Affirm — Offers customers flexible payment plans. Available for US and Canadian customers only. Not available with installments, subscriptions, authorize prices, or upsells. See the How to Set Up Affirm guide for details MobilePay — Users in Denmark, Finland, and Norway can purchase using only a phone number. You can set it up through Quickpay or directly in Simplero. You can check How to Set Up MobilePay for details.  NMI — A payment gateway that works with many payment processors and merchant account providers. Commas — Supports credit cards, Apple Pay, Google Pay, Cash App Pay, and Buy Now Pay Later through a hosted checkout. Manual — For wire transfers, cash, money orders, Venmo, and other offline payments. Simplero cannot track these automatically. Check this guide to understand how this works Add a payment processor Go to Settings → Payment Processors. Click +Add a payment processor in the upper right. Select the processor you want and click the Add button next to it. Follow the setup prompts. Each processor asks for different credentials. Stripe note: If you have active subscriptions and change your Stripe API keys, you must migrate your existing subscriptions to the new keys. See Switching Payment Processors for the full process. Add a manual payment method Use a manual payment method when you accept money outside Simplero—wire transfers, cash, checks, or Venmo—and want to track the payments in your account. Go to Settings → Payment Processors. Click +Add a payment processor. Select the Manual option. When a customer pays you outside Simplero, open the purchase record and mark it as paid. How money flows to your account Your money stays with you. Simplero never touches it. PayPal — Money goes directly into your PayPal account. From there, you transfer it to your bank account. Transfers take a few days to process. All other processors — Money is deposited directly into your bank account, either immediately or after a delay of 1–40 days, depending on your agreement with the processor. Many payment processors charge a transaction fee. That fee goes to the processor and the card issuer (Visa, Mastercard, etc.), not to Simplero. On the purchase page, you'll see an estimated fee based on the processor's published rates. The actual fee on your processor's dashboard may differ slightly. Strong Customer Authentication (SCA) SCA is a European regulation that adds an extra security layer for online payments. It requires customers to verify their identity through at least two independent factors during checkout. Simplero is fully SCA compliant. Troubleshooting Why can't I see the processor I just added? — Refresh the Payment Processors page. If it still doesn't appear, the setup may be incomplete. Open the processor from the list and check that all required fields are filled in. Why did a customer's payment fail? — Check the Simplero transaction or your payment processor's dashboard for the exact error. Common causes include expired cards, insufficient funds, or authentication failures. Can I use more than one payment processor at the same time? — Yes. You can add as many as you want. Customers choose which one to use at checkout. Manage Stripe payment methods
At the end of this guide You'll know which payment methods Stripe can offer your customers and how to turn them on or off from your Stripe Dashboard.  Stripe supports a number of popular European payment methods, including EPS, Google Pay, Giropay, Przelewy24, SOFORT, Klarna, Affirm, Afterpay and SEPA Direct Debit. Stripe makes these payment methods available out-of-the-box for users in all countries excluding Brazil, India, and Malaysia. In this guide Express Checkout: Apple Pay and Google Pay Payment methods available through Stripe Turn payment methods on or off What your customers see at checkout Features 1. Express Checkout: Apple Pay and Google Pay This lets customers pay with Apple Pay or Google Pay — their name, email, and shipping address fill in automatically.  Go to Settings → Payment Processors and edit your Stripe processor. Under Express Checkout, turn on Allow Express Checkout.  Clarifications: Domain registration happens automatically. You do not need to register your domain in Stripe We will only record the information included on their accounts in Apple Pay or Google Pay. They will only be able to enter the VAT number before they pay. If your customers use Express Checkout before entering it, they will be treated as not having one If a VAT number is required, Express Checkout will not show as an option Your customers will only see the wallets they actually have set up. Apple Pay shows on Safari with a card in Apple Wallet, Google Pay shows in Chrome with a saved card, and Link shows to Stripe Link users. Billing details like address/country are filled in when required from the wallets too. Any custom fields you got set up on your order forms will show up on the next step on the checkout, after they’ve paid. This works alongside all your existing payment methods. Nothing changes about your current setup; it just adds the fast lane at the top. 2. Payment methods available through Stripe Stripe supports a wide range of payment methods beyond cards. Which ones are available to a specific customer depends on your country, the customer's country, the transaction currency, and Stripe's own eligibility rules. Payment method What it is Cards (Visa, Mastercard, Amex, etc.) Always available — do not disable Apple Pay / Google Pay Wallet checkout (requires Express Checkout) iDEAL Dutch bank transfers (EUR only) Bancontact Belgian card payments (EUR, lifetime prices only) SEPA Direct Debit Bank payments across Europe ACH Direct Debit US bank payments, lower fees Affirm, Afterpay, Klarna Buy now, pay later Cash App Pay One-tap from Cash App Amazon Pay Checkout with Amazon account Link Stripe's fast autofill checkout Additional methods — BLIK, EPS, Bizum, MB Way, Satispay, PromptPay, and others — are available depending on your region. Stripe determines eligibility automatically.   3. Turn payment methods on or off All payment methods are managed in your Stripe Dashboard, not in Simplero. Go to Settings → Payment Processors and edit your Stripe processor. Under Payment methods, click Open Stripe dashboard. In Stripe, go to Settings → Payment methods. Turn individual methods on or off (Enable / Disable) Changes take effect at checkout immediately. ⚠️ Do not disable Cards. That's how you take credit card payments. 4. What your customers see at checkout Stripe decides which payment methods to show each customer based on: Which methods you've turned on in Stripe The customer's location and device The currency and amount of the purchase For example, Klarna only appears if you've enabled it in Stripe and the customer is in a country where Klarna operates. iDEAL only appears for EUR prices. You do not control this selection in Simplero — Stripe handles it automatically.   Troubleshooting Why don't I see a payment method I turned on? — Stripe determines eligibility per transaction. A method may not appear if the customer's country, the currency, or the amount doesn't qualify. Check your Stripe Dashboard's payment method settings to confirm it's enabled. A payment method shows "Pending" in Stripe — That's a Stripe-side status. Contact Stripe support if you want to use it. Where do I set up a non-Stripe payment processor? — See the Payment Processor Setup guide. Keywords: Stripe payment methods, accept payments Stripe, Apple Pay Simplero, Google Pay Simplero, Klarna Stripe, Afterpay Stripe, Affirm Stripe, SEPA Direct Debit, iDEAL, Bancontact, enable payment method, disable Link Stripe, wallet checkout, buy now pay later

Connect PayPal as a Payment Processor
At the End of This Lesson You'll have your PayPal Business account connected to Simplero so you can accept payments through PayPal. Before You Start A PayPal Business account Access to your PayPal API Signature (you'll retrieve this during the setup) Step-by-Step Instructions Step 1: Get Your PayPal API Credentials Log in to your PayPal Account Go to your API credentials page Click on “Continue with out-of-use NVP/SOAP certificate” Choose “partner”, enter "Simplero" and choose “continue with deprecated credentials” Copy your: API Username API Password API Signature Step 2: Add PayPal in Simplero In Simplero, go to Settings-> Payment Processors Click +New payment processor. In the PayPal section, click Add Enter your PayPal email address. Paste your API Username, Password, and API Signature. Click Create payment processor. PayPal on Purchases with Multiple Installments/subscriptions You have two ways to charge multiple installments/subscriptions via PayPal: Manually (included in all Simplero plans): They have to come back and pay each time. Whenever a new installment becomes due, we will send a notification to request them to pay the new installment. Automatically (subscriptions only) (included only in Simplero plans with advanced payment methods): The money will get automatically deducted every time. See more information in this guide Troubleshooting I don't see the API Credentials page. Make sure you're using a PayPal Business account. Personal accounts can't be used. PayPal payments aren't working in Simplero. In PayPal, make sure Encrypted Website Payments is disabled. You can find this under Settings → Website Payments → Website Preferences. The API credentials aren't accepted. Double-check that you copied the API Username, API Password, and API Signature exactly as shown in PayPal. Note: PayPal occasionally updates its interface. If the menu names or locations are different, the setup process is still the same—you'll need to locate your API Signature credentials before connecting PayPal to Simplero. Let us know if that happens so we can update our resources! Paypal Automatic Subscriptions
Plans available*: Skyrocket *Note: This feature is only available on the Skyrocket Simplero plan (or the deprecated Rule The World Plan). Lower plans include only manual PayPal subscriptions, which means that customers will receive an email to pay before each payment date.    If you’re looking for help connecting your PayPal account to Simplero in the first place, check out our separate PayPal Setup guide. Here, we’ll focus only on the automatic subscriptions: understanding how PayPal handles automatic recurring payments and the key limitations to keep in mind. Turning On PayPal Automatic Subscriptions PayPal subscription options can be found in the settings - Payment Processor settings.  Click on the edit (pencil) button next to your PayPal payment processor. Change the setting when making a purchase involving a subscription or installments to "Set up a payment plan in PayPal, if possible":     Paypal Subscriptions Limitations While PayPal is available for Subscription prices too, there are a few limitations you will need to know before offering this payment processor as a method of payment on subscription plans: Once the purchase has been created, you will not be able to edit or add any existing/additional charges. When a new purchase is generated, the price settings are sent to PayPal, which will now handle the subscription renewals and report back to us when they have been successful or canceled. Admins won’t be able to turn auto-renew off when using PayPal subscriptions. It needs to be done through PayPal.  When you or the member cancels and/or refunds a PayPal purchase, Simplero sends the request to PayPal to update the cancellation and refund request on their end. This action should mark the automatic payment in PayPal stopping future charges. Once a member cancels the purchase on PayPal, there is no option to reactivate it. If the customer wants to restart the subscription, they will need to purchase the product again. Subscription purchases need to be created with Paypal from the first payment to automatically collect the payments. When a purchase is changed from another payment method to Paypal, payments can only be manually collected (ie. sending an email each month) Subscriptions used with PayPal must have 2 or fewer subscription periods and only the final one may repeat. You can't automatically collect installments with PayPal  For example, the price below will be accepted by PayPal: While this one won't: When the price doesn't support PayPal as a processor, we will not show it as an available method of payment on the product order form :)     Considerations when setting up a Subscription Price Learn more about setting it up in our guide, 'Subscription Prices'. If you want your price to be used for PayPal subscription, take the following into account:   A maximum of two paid periods can be added for PayPal Subscriptions to be available (as explained in the limitations above) If you choose to limit the payment processors that can be used, since PayPal Subscriptions is considered an automatic payment processor, all three options (Unrestricted, Automatic charge only, and No cash/bank transfer) will allow using PayPal as a payment method.

Specifically, renewals should be spaced at least three days apart. For all subscriptions, a charge is generated on the scheduled renewal date, but MobilePay takes 1 day to capture the actual payment. Example: If a subscription is created to renew every 2 days: The first payment is captured immediately. The second charge is initiated 1 day later (from the time of last captured payment) Due to MobilePay’s 1-day processing time, the second payment is captured on day 3 and so on. Once you are set up with an Affirm account, enter your Public and Private API keys and select Production on the Environment: Important things to note: This payment processor is only available for customers in the US or Canada. The billing address is required when using Affirm. Affirm is not available with Installments, Subscriptions, Authorize prices, or Upsells. When asked to select an Integration platform in Affirm, choose php You can't integrate Affirm through Stripe Reach out to Support if you have any further questions about adding Affirm to your payment processors!

Understanding the Manual Payment Processor
How does the Manual Payment Processor work? The "Manual" payment processor is for any form of payment that Simplero can't handle automatically for you. That would include payment by check, by wire transfer, by cash in hand, sheep, Western Union, Venmo or whatever else you could think of. Follow the steps below to add a Manual payment processor: Select Settings from your Simplero Dashboard Select the Payment processors tab The Default processors will be listed (Bank Transfer, Cash, and Store credit) In the upper right corner select +Add a payment process button if you'd like to add another Select the Manual from the options and click the Add manual payment process button Give this manual payment a Name. You can have a separate name for internal use compared to what's on the order form. The top name will be what you and other admins will be able to see. and then the second name will be what your users will see on the order form. If you'd like you can add a description for them: We have two by default: "Cash" and "Bank transfer". They're not enabled. If you want to offer manual payment, then you can enable them. You will want to make sure to update the information on them with the proper routing number and account number.    How It Works If you enable a manual payment processor, your customers will see it as an option on the checkout screen, eg. "Bank transfer". When selecting a manual payment option, the order form will flag to them that they will be taken to the next screen: On the next screen, they'll see a notice informing them of the amount to pay, the ID number to reference with their payment, and the instructions from the payment processor. For example: You can check a list of your purchases pending payment in your Sales - Purchases page by clicking on the pending tab: Once you see the payment come through in your bank acocunt, click the correct purchase on the Dashboard. The purchase will say how much money we're expecting and through which channel. If you received the money, click the "Register payment" button on the purchase screen, and enter the amount they paid and any additional information. You can also change the payment processor if they happened to pay some other way. After you complete the dialog, assuming they paid enough, the purchase will be activated, and the normal activation sequence will run (auto-responses, access to content, invoice, login info, etc.). For additional information about store credit, check out this in depth guide here.  Why We Don't Send an Invoice Right Away If this was a "normal" business, you'd be sending an invoice to the company, and their accounting department would pay the invoice. We don't do that here, because online shoppers are flakier. They might just be thinking about buying, and not be serious. The problem with issuing a formal invoice is that, for most accounting purposes, that's considered booked revenue, even if the money isn't there yet. And in this case, it may never arrive. In which case, if you have issued a invoice, you need to issue a credit note and argue for why the money never showed. It's just an additional, unnecessary hassle. So we don't send a invoice. If people want the stuff, they'll pay, and we'll give it to them.

Switching Payment Processors
How to Turn Off a Payment Processor for New Purchases If you want to switch to a new payment processor for all new purchases, but still allow existing subscriptions and payment plans to run through the existing payment processors, what do you do? Easy! Just disable the payment processor that you want to phase out, and enable the one that you want to use going forward. To do this go to the settings - payment processors page: We'll still keep charging all the existing payment plans and subscriptions on the disabled payment processor. All new purchases, however, will not see the disabled payment processor as an option. Also, if an installment or subscription payment on the disabled payment processor fails, and the customer comes back to enter new credit card information, they'll now only see the option for the new payment processor, and hence, they, too, will be moved over to the new one. In other words, the transition could not be more graceful and seamless. How to Switch Payment Processors for a single purchase If a customer wants to change payment processors for future installments, they can do that by: Going to their Manage purchase page (see how they can do that here). Note: You can also send them the link, as you can find it on their purchase page From there, they can click on Add new next to their payment information: This will show a list of all the payment methods available to them: They can then choose their new payment method and click on Add new Note: If they are using Automatic PayPal subscriptions, they will not be able to change payment processors after purchasing. They will need to cancel their current purchase and purchase again using the new payment method. They also cannot change from other payment processors to automatic Paypal subscriptions.

Global Coupons
Global Coupons allow you to assign coupons to apply across all products in your Simplero product catalog.  Creating a Global Coupon Select the Settings gear icon at the top of your Simplero Dashboard next to the Search bar. Then select Coupons under the Sales section: Click the Add a global coupon button in the top right corner: Complete all the fields for your Global coupon code and click the Save changes button: NOTE! The coupon code box only shows when there is an available coupon. Warning! If the global coupon is a 100% discount ($0 fixed amount) and used in a product including upsells, the upsells won’t be shown since we haven’t collected a payment method. If the coupon is available to all products and used on products including order bumps, then the order bump will also get the coupon applied to its value. Global Coupon to Specific Products You can restrict the use of a global coupon to specific products only. Any products added to the cart or combination of product and order bump will honour the coupon product availability: Auto-apply Buy N, get one discounted. For example, 'buy 2, get the 3rd discounted' and choose whether the discount applies to the cheapest, most expensive, or last added item. The discount can be a percentage or fixed amount. Restrict which products qualify by product, label, or facet value. Automatically apply when a customer adds enough qualifying items to their cart. Global coupons on the order form Your members will see the promo code field on top of the price: When applying a coupon code, we will present the discount applied to the price selected on the order summary section: NOTE! The calculated discount doesn’t show when using Secret or Coupon codes at the product price level.

Collecting Tax
In this guide... Setting up Simplero to Collect Tax for You Overriding Taxes at the Product Level Taxes in different subregions (states, provinces, etc) Taxes on multiple currency products Prevent Sales from a Specific Country Setting up Simplero to Collect Tax for You Select Settings from you Simplero Dashboard Select the Taxes tab under Sales Set your Home country and enter the Tax percent when editing and showing prices (If you are unsure what tax rate is being charged you can scroll to the bottom and see a listing of all countries and Tax Rates and even add a new one if needed. ) Select your Tax strategy. You will see three options: No tax Simple tax -  use this if you're based outside the EU—we'll still add EU VAT when relevant EU/UK VAT - use this if your business is based inside the EU or the UK. The EU/UK has particularly complex rules about when to apply taxes and when not to, depending on where the course is taking place or whether or not customers supply a valid EU/UK VAT number. Unsure how to set your taxes up to comply with EU VAT? Take a look at this guide Choose if you want your customers to choose their own country, or if you want it to be automatically set based on their IP address. It is important to note that the IP address method is not 100% reliable, and it's a bummer for them if they're traveling while purchasing from you, but it can help prevent unwanted sales to the EU. Review the taxes per country (if necessary).  We have the VAT rates, as we know them, for each EU member country, loaded from the start in your settings - taxes page but you can edit them if you notice they are not correct.  Click the Save changes button Note: Choose Rest of the World if you want to define taxes for all the countries that are not added. You can also use prevent sales to customers in this country to stop sales from any countries that are not on the list.  Overriding Taxes at the Product Level Sometimes you might need to set custom tax rates that override the account's rate settings for that region. Navigate to the Product - Configure tab. Scroll down to the tax settings section and look for the button "Per-country overrides" on the left sidebar: Enter the new value on the Empty boxes or click on Apply to set up the suggested value :) Add any additional countries at the bottom of the page. The values auto-save as soon as they get added, no need for further "Save" steps on this page! :) Taxes in different subregions (states, provinces, etc) It is also possible to define different tax rates for different states or provinces. You can find this by following these steps: Select Account Settings from your Simplero Dashboard Select the Taxes tab Enable taxes by choosing one of the options in the 'Tax strategy'. Scroll all the way to the bottom till you find the country you wish to edit and then click on the subregions: You can then edit tax rates for every state/province/region separately Note! If you need help handling your taxes in the US, you can use our TaxJar Integration.  Taxes on multiple currency products Simplero will determine the tax based on your client's location. So if they are in the US, it will charge the US currency and tax, and if they are in Canada, it will charge the Canadian dollar and tax rate.  The percentage will be based on their location regardless of the currency.  Prevent Sales from a Specific Country If you want customers from specific countries not to be able to purchase from you, you can do that from the tax settings. As an example, this can be used to deny customers in the EU to avoid the hassle of the EU VAT for non-EU providers. Select Settings from your Simplero Dashboard Select the Taxes tab under Sales Scroll down to review the tax rates. Choose the country from the list or add it if needed.  Choose the setting to prevent sales to customers in this country.  Note: If you want to allow sales only in some countries, add those countries to the list and then choose Rest of the world and turn the prevent sales to customers in this country setting ON.

EU VAT
In this guide... How Simplero handles EU VAT VAT Rates Where do we get the VAT rates from? How does Simplero determine the VAT rate for each purchase? Editing the tax rate after purchase Overriding tax rate per product EU VAT Number EU VAT Number Validation Troubleshooting EU VAT Numbers not accepted Tax Report How Simplero Handles EU VAT With Simplero, we've done everything we know of to handle EU VAT correctly for you. That said, we're not tax lawyers, and finding usable information on what the laws actually are across all the member states have been challenging to say the least. At the end of the day, handling EU VAT correctly is going to be your responsibility as the business owner. We cannot assume any liability here. With that out of the way, let me explain what we're actually doing. VAT Rates Where do we get the VAT rates from? We have the VAT rates, as we know them, for each EU member country, loaded from the start in your settings - taxes page. We've been searching for a canonical source of VAT rates, preferably in machine-readable format, but haven't been able to find it yet. If you know of one, please let us know. You are able to edit them on that page if they are incorrect.  How does Simplero determine the VAT rate for each purchase?  The VAT rate charged will be based on the customer's country. The customer will tell us what their country is, and by default, we'll believe them. However, with EU VAT that may get you in trouble, so you have the option of locking down the country field so that we'll automatically populate it from the IP address they're coming from. This is not perfect. I know I've sometimes been in Denmark, and the IP address would look like it was coming from Sweden, especially if connecting via the personal hotspot on my cell phone, but this is the best information we have. You can turn on this option on your settings - taxes page: Editing the tax rate after purchase If the incorrect VAT amount is charged, we make it easy to correct it later on—either refund a bit or charge a bit extra. You can do that by: Editing the charge from inside the purchase: Clicking on Adjust Collected Tax inside the purchase after you have done that Overriding tax rate per product Some EU member states have different VAT rates for different types of products. You can adjust this by clicking on Per-country overrides inside each product configure page. This will override the rates set in the account settings: EU VAT Number We collect the EU VAT number if they have one, we validate it, and we do what's right in those cases. Typically, it means no VAT will be collected, except if you and the customer are in the same country, in which case VAT will still be charged. You can set your product to always require a valid VAT number, so you can only sell to people in the EU if they have a valid VAT number. If the customer is outside the EU, they can still buy. You can do that from your Product - Order Form tab by turning on the option Only allow sales to customers who have a valid EU VAT no:  The rules for EU VAT are complicated. For each product, we have a setting to always charge your home country's VAT regardless of whether or not your customer has a valid VAT number, one that will charge your home country's VAT unless your customer has a valid VAT number, one that will charge your home country's VAT when your customer doesn't have a valid VAT number and one to charge VAT based on the customer's home country's VAT.  We've tried to cover all the bases. Go to the configure page in your product to see those options: EU VAT Number Validation When selling to business customers in the EU, or when you yourself are based in the EU, a valid VAT number is required on purchase in order to sell a product without VAT in accordance with the reverse VAT rules of the EU. In Simplero we remove the VAT automatically if a valid VAT number is supplied. The VAT number is checked against the EU database (VIES), and if it's not recognized, the customer gets an error message and VAT is not deducted. However, the purchase can be completed without VAT unless you have enabled the "Only allow sales to customers who have a valid EU VAT no." box on the "Order Form" page of the Product.  To get the VAT field to show on the order form, you need to include the Company name under Purchase Fields in the Order form tab. Daily, we check all purchases that require VAT and that have future charges and check the VAT number validity. If the VAT has changed from valid to invalid, or vice versa, we recalculate taxes and send an email to the account owner to take further action. *Note: If your Global Tax Settings are set to EU/UK, customers will still be charged for VAT if they add their VAT number to the order form, even if the product is exempt from all taxes. If you have a product exempt from taxes and you don't want to charge them by mistake, we recommend turning off the “Company name & EU VAT no.” purchase field, if you don’t need that info for this particular product. You can find that setting on the Order form page inside your product: DK youth VAT exemption Accounts located in Denmark, and under EU taxation, will offer an additional option in Products > Configure tab to comply with 2026 under 30 youth VAT exemption law: When this option is enabled, we will automatically require participants located in Denmark to provide their date of birth, and based on it, apply or not taxes based on the tax settings selected (Live program, Digital program, Public in-person event, Private in-person event). Troubleshooting VAT numbers not accepted If the VAT number is not accepted, this can be for one of several reasons. These reasons apply to both your purchase of Simplero and customers purchasing from you: You typed in the wrong number (for obvious reason, but happens a lot) The EU database is down. That, unfortunately, happens from time to time – try again later or complete the purchase with VAT and then deduct the VAT on your VAT registration with your local VAT authorities. The VAT number is not valid for VAT deduction. You can verify that a VAT number is, in fact, valid for deduction on the VIES registry. In Denmark, this is a common reason for a VAT number not being accepted, since it can have a business number ("CVR/SE-nummer") but not be registered for VAT. If you are in a specific niche like healthcare and some types of education. For Danish businesses, you can check it here. If your business is in another EU country, and similar rules apply, please let us know if you have a link to a local VAT number check you would like us to include in this guide. Tax report As for reporting, we'll give you a breakdown of taxes collected for each region, for any time period, where you can drill down for each region and see exactly which purchases the VAT has been collected for, so you can easily verify everything. You can find this on your invoices page, by clicking on the three dots on the top right corner and clicking on tax report: You can also download this report as a CSV or Excel file, which you can then modify and/or upload to other places, as needed. We use Simplero to charge for Simplero and run our own business, and we need to collect EU VAT from both our US and our Danish companies, so we're very much relying on this functionality ourselves.

Collecting an Outstanding Balance
What Does the Delinquent State Mean? When you see the purchase as "Delinquent" it means that we aren't yet in a failed state but we are also not on track either.  Although there is an overdue payment, we haven't shut off access yet.   We want to call attention to that fact, so this is why you'll see "Delinquent" stamped on the purchase.  Should you see this know that simplero is still working to collect the money from your customer by sending them reminder emails per your account settings.  How Simplero Collects an Outstanding Balance When a payment is due for a customer—whether that's a subscription renewal or an installment—we'll try to collect it using the payment method selected for the purchase.  Some payment methods allow us to automatically charge, others don't. You can see under Settings > Payment Processors which of your allow "Autocharge" and which don't. Even if the payment method allows for an auto charge, sometimes cards are declined—could be out of funds, could be over a daily or monthly limit, could be expired, or could be many things. If the payment doesn't go through for one reason or another, we'll email the customer a payment notification showing how much is due, and with a link to come back and update their payment method and try again. If the balance isn't paid, we'll try again a number of days later. This keeps going until we've tried a certain number of times, after which we give up. The purchase state will be set to "Failed", which means that they will no longer have access to emails and content, and we'll also stop trying to collect the balance. The last payment notification will let them know that their access has been shut off and that we have given up on them, using these words: "We've temporarily revoked your access to this product until we get the payment in order." How many days between attempts, and how many attempts before we give up? You get to choose that: Select Settings -> Product In the Product settings screen, scroll down to the Retry failed charges section. Choose: How many days should we wait before we try to charge again How many times should we do this before we mark the purchase as failed If your customer is subscribed using a payment method that doesn't allow the auto charge, that means you still don't have to manually do anything. Simplero will send your customers an email to try to collect on the balance for you, and if we can't do that, the customer's access will be cut off. If your customer is using a manual payment method, you will need to register the payment for them on their purchase: What Does the Failed State Mean? The failed state means that Simplero has cut access to the content of the product and discontinued trying to collect the outstanding balance.  However,  you still have options to collect the money: If your customer tries to access their content, Simplero will let them know they are not able to until they make a payment and will be directed to the payment screen.  If they contact you directly to retry their card, you can click on the "collect now" button on the purchase page You can resend the payment reminder by selecting the resend button (envelope button) to the right of the failed invoice.

Troubleshooting Payment Processor Issues
Here's what we've learned about some common issues with these payment processors.   How PBS/Nets/Teller pays out MasterCard and VISA transactions When PayPal Payments Don't Get through to Simplero, Even Though They're Paid in PayPal My Customers' QuickPay Transaction Didn’t Register in Simplero? I'm trying to refund my customer, and it's not working Paypal is not showing as an available payment option PayPal is not showing as an available payment method on the manage payment page Capturing a Stripe authorized payment is returning an error How PBS/Nets/Teller pays out MasterCard and VISA transactions When your customers pay with MasterCard or VISA, you don't get your money right away. Instead, they're paid out weekly, accompanied by a PDF statement which you receive by email from Teller. The transaction on your bank statement will say something like "FNR. xxxxxxx" where xxxxxxx is your 7-digit PBS/Nets/Teller merchant number. The weekly PDF statement, called an "Advisering", contains a reference to a Ref. Nr. of the form " 000BILPxxxxx", where xxxxx is the transaction ID, which you will find next to the invoice when you click on Reporting > Invoices in your admin interface. When PayPal Payments Don't Get through to Simplero, Even Though They're Paid in PayPal The purchase shows Abandoned and the charge as New in Simplero Sometimes a PayPal payment doesn't register in Simplero, even though it's gone through in PayPal. The way Simplero knows that the payment has gone through is that PayPal sends us what's called an IPN, short for Instant Payment Notification. Without this, we have no way of knowing the transaction went through. So if this doesn't get to us, that's a problem. Follow the instructions in this article to resolve the issue moving forward. The purchase shows Abandoned, and the charge shows Succeeded These cases are very likely due to PayPal returning the status "Pending" instead of successful at the time of the purchase. Then, later on, updating to successful. When this happens, you can click on "Try to activate" to update the purchase status. My Customers' QuickPay Transaction Didn’t Register in Simplero? What happened here is QuickPays server didn't communicate with us that the payment was successful. As this is on QuickPays' side, there is nothing we can do about that.  However, what you do need to do in Simplero is register the payment manually. This is VERY important in order to keep your accounting accurate and avoid any discrepancies.  Here's what you need to do: Log in to your QuickPay Manager Confirm the payment went through Once you've confirmed the payment, you'll need to register the payment in Simplero Select Products from your Simplero Dashboard Select the Purchases tab Locate and select the purchaser (customer's name) In the Charges & Payment section, click the Register payment button The Register payment screen will open Enter the amount received, select the date paid, and the method. Add a comment so you can identify the payment in the future. You could add something like "QuickPay Network Error" and be sure to double-check that the amount is accurate.  Once all looks correct, click the Register payment button to save The purchase will now have a registered payment. The owing charge should match with the payment you just registered.  I'm trying to refund my customer, and it's not working. Payment processors often have time limits on refunds. If you are trying to refund an older purchase that is past the payment processor's refund period, it will register that they've been refunded in Simplero, but no transaction will have gone through on the processor.  If this is the case, you'll need to refund the customer their money some other way (perhaps by sending them a check). Here are the refund periods for our common payment processors. If you are having trouble refunding with a payment processor not listed here, be sure to check with them what their refund period is: Stripe - No technical limit, but they recommend no longer than 6 months, as more than 6 months increases the likelihood of issues (such as cards being declined) Paypal - 6 months Quickpay - 1 year Authorize.net - 6 months (but also you can't refund within 24 hours of purchase. So if this is the case, just wait a day and try again) Paypal is not showing as an available payment option Upsell and order bump products are not available via PayPal. - If PayPal is not showing as an available payment processor on the product order form, make sure the product does not have any available upsells. If you are using Automatic PayPal subscriptions, some prices might not be showing. Have a look at this guide to understand the limitations. Some of those are: Prices with 3 periods or more are not supported by PayPal. If the price has more than 2 different periods, it needs to support Unrestricted Payment Processors or No cash/bank transfer. PayPal is not showing as an available payment method on the manage payment page Once a purchase has been created (either manually or through the product order form) and a payment method has been selected, PayPal will no longer show up as an available payment method. Even though it is available as a payment method in the price settings. The reason is that PayPal cannot be set up unless a charge is due. As soon as you add an outstanding charge, PayPal will show up as an available payment method in the manage payment page.  Capturing a Stripe authorized payment is returning an error If you get an error saying: This PaymentIntent could not be captured because it has a status of canceled. Only a PaymentIntent with one of the following statuses may be captured: requires_capture  Note that Authorize lasts “up to seven days" - If the purchase was created before 7 days ago, Stripe is not letting us collect the money, and you may need to ask the end-user to place a new order.

Order Forms settings
Order forms in most EU countries have some special requirements to follow GDPR and online checkout rules. Select Settings from your Simplero Dashboard Select Product under the Sales section You will see a section called "Order form" that applies account-wide: Below, we will explain each what each one of the setting means.  Opt-in checkbox on the checkout form On your order form, there is a checkbox asking people to opt in to receive marketing communications. This is how it looks: In the Opt-in checkbox on the checkout form section, the default is the box checked. Should you uncheck this, when someone purchases a product from you, they will not be automatically added to your mailing list; they will need to check this box. In the List to subscribe people to when they check the box section, select the List that you want them added to if they check the box on the order form.  Show the total installment amount in the order form If the toggle is ON, we will add the total amount on the order summary section in the checkout page, including all future installments and order bumps included in the order: It also makes future installments' breakdown visible by default (if any): When this option is OFF, future payments show behind a toggle instead: Show a notice when a product is being repurchased It shows a notice to the person purchasing if they have an active purchase for that same product: When this setting is on account-wide, new products will be created with this setting enabled. You can override it at the product level on the Product > Order form tab:   Note: This notice only shows if the user is logged in when they are doing the purchase.

Renewal Notifications
Setting up Renewal Notices Select Settings -> Product tab In the Product settings screen, scroll down to the Warn about Renewals section Set the number of days you want the system to send a Warning about renewal when the last subscription period was longer than x days  Notes: This is only for subscriptions, not installments All paying customers will receive a trial ending reminder, which is sent 3 days before the trial ends. Customers using Visa payment methods get an additional 7-day reminder (due to VISA requirements) regardless of their chosen settings. This is a regulatory requirement from Visa:| “Merchants must also send a reminder notification (i.e., email or SMS/text) including a link to online cancellation policy at least seven (7) days before initiating a recurring transaction if: A trial period, introductory offer, or promotional period is about to expire. The nature of the recurring agreement has changed (for example, the price or billing period).” If 6 months have elapsed since the last charge. Subscription renewal reminder now only sends to VISA customers Customize Renewal Notice At this time, there is no way to edit the text of the renewal email that goes out, but here is a screenshot of that message: If you want to send a customized renewal notice, we recommend setting up an Automation as follows: Step 1: Wait for X days before the subscription renews/expires Step 2: Send Templated Email You can then repeat steps 1 and 2 if you want to send further reminders.  Once the automation is set up, you will add a trigger to your product to start the automation when the purchase is activated or renewed:

Retrying Failed Charges
In your account settings, you are able to determine when and how often Simplero will automatically attempt failed charges. Select Settings from your Simplero Dashboard. Select the Products tab: Scroll down to the Retry failed charges section. Enter how many days Simplero should wait before we try to charge again and set the number of times Simplero should attempt to charge before we mark the purchase as "failed" Note: that if a charge is marked failed it will cut off access to the content associated with that product/purchase.  You can attempt to retry a failed charge yourself by going to the purchase directly. Select Sales from your Simplero Dashboard Select the Purchases tab: Select the Failed tab from the top menu: Select the purchase that has failed to open it.  At the bottom of the purchase summary, it will show you the failed charge. You can then click 'retry now':

Connecting Payment Processors
In order to collect money via credit cards we need to set up a payment processor. We will cover how to do that in this lesson. You can also check this written guide on how to set up your payment processor. If you need more details on how to configure Paypal Payment Processor, check this guide. You can also configure a manual payment processor. If you have issues with your payment processor you can check this guide on how to troubleshoot payment processor issues.
